Key takeaways

GST compliance is more than filing returns.

It covers correct invoices, timely tax payment, valid ITC claims, e-invoices, e-way bills and record keeping.

Most GST stress comes from manual work.

Data spread across Excel, billing tools and WhatsApp leads to errors and last-minute rush.

Two returns drive your month.

GSTR-1 reports your sales; GSTR-3B is where you pay tax and claim credit.

ITC must match GSTR-2B.

Credit your supplier has not reported is credit you cannot claim.

Late filing costs money.

Daily late fees and 18% interest add up quickly, and repeated gaps can block your e-way bills.

One connected system fixes most of it.

When billing, accounting and GST share the same data, compliance becomes routine.

GST compliance is essential for every registered business in India, but for many owners it feels like a monthly fire drill. Invoices sit in one tool, purchase bills in another, and the accountant asks for everything two days before the deadline.

It does not have to work that way. With the right process and the right GST billing software, compliance becomes simple, accurate and predictable. Here is everything you need to know.

Part 1 · The basics

What is GST compliance?

The everyday rules every GST-registered business has to follow.

GST compliance means your invoices, returns, tax payments and records all follow GST law, on time and without mismatches.

For a typical small or medium business, that covers six areas:

GST registration once your turnover crosses the threshold, or if you sell inter-state or online.

GST invoices with GSTIN, HSN/SAC codes, place of supply and the correct CGST, SGST or IGST split.

GST return filing , mainly GSTR-1, GSTR-3B and the annual return GSTR-9.

Tax payment by the due date, using cash and eligible credit.

E-invoicing and e-way bills if your turnover or goods movement requires them.

Record keeping of invoices, ledgers and stock for the period the law requires.

Part 2 · The problem

Why does GST compliance feel difficult?

GST needs accurate data across sales, purchases and tax, and most businesses keep it in pieces.

GST requires accurate record keeping across every sale, purchase and payment. When that data lives in multiple tools or is managed by hand, errors and delays become common, and stress peaks near filing deadlines.

  • Scattered data. Sales in a billing app, purchases in Excel, bills on WhatsApp. Nothing matches at month-end.

  • Manual tax calculations. Wrong GST rates, wrong HSN codes or a CGST/SGST entry that should have been IGST.

  • Duplicate data entry. The same invoice typed into billing, accounts and the GST portal, three chances to make a mistake.

  • ITC mismatches. Purchase credit in your books that does not appear in GSTR-2B.

  • Last-minute filing. Everything waits for the deadline, when portal traffic and pressure are highest.

  • Frequent rule changes. Rate changes, new return rules and portal updates are hard to track manually.

Part 3 · Your calendar

GST returns and due dates you need to know

The returns most regular taxpayers file, and when.

Return

What it covers

Monthly filers

Quarterly (QRMP)

GSTR-1

Details of outward supplies (sales)

11th of next month

13th of month after quarter (IFF optional for B2B in the first two months)

GSTR-3B

Summary return to pay tax and claim ITC

20th of next month

22nd or 24th of month after quarter, depending on state

GSTR-2B

Auto-drafted ITC statement from supplier filings

Generated on the 14th

Generated quarterly

PMT-06

Monthly tax payment for QRMP filers

Not applicable

25th of the first two months of the quarter

GSTR-9

Annual return

31 December after the end of the financial year (optional for turnover up to ₹2 crore)

Due dates can be extended by government notification. Always confirm current dates on the GST portal (gst.gov.in) or with your CA.

Part 4 · The fix

How automation simplifies GST compliance

Record a transaction once and let the system do the rest.

GST automation means your software creates GST-ready invoices, calculates tax, prepares return data and flags mismatches for you. When accounting and GST workflows are connected, compliance stops being a separate monthly project.

Step 1Create invoice

GST rate, HSN and tax split filled in automatically

Step 2Books update

Ledgers, stock and receivables change from that one entry

Step 3GST data builds

GSTR-1 and GSTR-3B figures stay ready all month

Step 4File with confidence

Review, reconcile ITC and file without a deadline rush

Figure 1. How one invoice flows into your GST returns.

Accurate tax every time

Rates and CGST, SGST or IGST are applied from your item and customer masters, not typed by hand.

Faster GST reports

Sales, purchase and tax summaries are ready whenever you open them.

Fewer errors and notices

Validation catches wrong GSTINs, missing HSN codes and mismatches before you file.

Hours saved every month

No re-typing data between billing, accounts and the GST portal.

Part 5 · E-invoicing and e-way bills

E-invoicing and e-way bills made easier

Generate both straight from the invoice you already create.

What is e-invoicing under GST?

E-invoicing means reporting your B2B invoices to the Invoice Registration Portal (IRP), which returns an Invoice Reference Number (IRN) and a signed QR code. It is mandatory for businesses whose aggregate annual turnover has exceeded ₹5 crore in any financial year since 2017-18. E-invoice data also flows automatically into your GSTR-1.

What is an e-way bill?

An e-way bill is an electronic document needed to move goods worth more than ₹50,000. It records the supplier, recipient, goods and vehicle details. Some states set different limits for movement within the state.

Modern accounting systems let you generate e-invoices and e-way bills directly from transaction data. You avoid duplicate work on separate portals, and the details on the invoice, the IRN and the e-way bill always match.

Part 6 · Input tax credit

ITC reconciliation: protect every rupee of credit

Your books and GSTR-2B must tell the same story.

ITC reconciliation means matching the input tax credit in your purchase register with the credit shown in GSTR-2B before you file GSTR-3B.

You can claim credit only for invoices your suppliers have reported in their GSTR-1. If a supplier files late or makes a mistake, the credit will not appear in your GSTR-2B, and claiming it anyway can lead to notices, reversal and interest.

Part 7 · Side by side

Manual GST compliance vs GST software

How the two approaches handle the work you do every month.

Task

Manual (Excel and portals)

Automated GST software

GST invoicing

Rates and tax typed by hand

Tax calculated from masters automatically

Return preparation

Data compiled at month-end

GSTR-1 and 3B data ready any time

E-invoice

Uploaded separately on the IRP

IRN and QR generated from the invoice

E-way bill

Details re-entered on the portal

Created in one click from the invoice

ITC reconciliation

Line-by-line matching in Excel

Mismatches flagged automatically

Rule changes

You track and apply them yourself

Updates arrive in the software

Working with your CA

Files sent back and forth

CA logs in to the same live books

Part 8 · Risks

GST penalties and common compliance mistakes

Small slips that turn into real costs.

Late GSTR-3B filing attracts a late fee, commonly ₹50 per day (₹20 per day for nil returns), up to a cap, plus 18% interest per year on tax paid late. Repeated non-filing can also block e-way bill generation and, in serious cases, lead to cancellation of registration.

Mistakes to avoid

  • Wrong place of supply, charging CGST and SGST where IGST applies, or the other way around.

  • Incorrect HSN/SAC codes or GST rates after a rate change.

  • Claiming ITC not in GSTR-2B or on blocked items.

  • Mismatches between GSTR-1 and GSTR-3B that trigger system notices.

  • Missing e-invoices for eligible B2B sales, which can make the invoice invalid for your buyer's ITC.

  • Poor record keeping. GST records generally must be kept for 72 months from the annual return due date.

Part 9 · Checklist

Your monthly GST compliance checklist

Seven steps that keep every filing on time.

01
Record all sales and purchases.

Make sure every invoice and bill for the month is in your books.

02
Check invoices for accuracy.

Verify GSTINs, HSN codes, rates and place of supply.

03
Generate pending e-invoices and e-way bills.

Confirm every eligible invoice has an IRN.

04
File GSTR-1.

Report outward supplies by the due date so your buyers get their credit.

05
Reconcile ITC with GSTR-2B.

Match purchase credit and follow up on missing supplier invoices.

06
File GSTR-3B and pay tax.

Use eligible ITC first, then pay the balance in cash.

07
Back up and review.

Save reports, note credit carried forward and share a summary with your CA.

Compliance becomes simple when it is a monthly routine, not a deadline emergency.
